Getting started with Bellmeir

Welcome aboard! This guide walks your school from first sign-in to fully live. Most schools complete it in a few sittings, and we help with the heavy lifting.

You're not alone. Your onboarding specialist can import data and configure settings with you. This guide is here so you always understand what's happening behind the scenes.

1. What you'll need

Before you begin, gather a few basics. Don't worry if something's missing, you can always add it later.

  • Your school's basic details (name, address, logo, academic year)
  • Your list of classes and sections (e.g. Class 1–10, sections A/B/C)
  • A student list, ideally a spreadsheet with names, classes and parent phone numbers
  • A staff list with names, roles and the subjects/classes they teach
  • If you run vans: vehicle numbers, routes, stops and driver phone numbers

2. Signing in for the first time

Bellmeir gives staff (owners, admins, principals and teachers) a secure email-and-password sign-in. Families and drivers use their phone number instead.

Open your school's console

Go to your school's Bellmeir web address (it looks like yourschool.bellmeir.com) and choose Sign in.

Enter your email & temporary password

Use the credentials sent to your school's primary admin. You'll be asked to set a new password on first login, this keeps your account secure.

Set a strong password

Once changed, you land on your dashboard. From here, the rest of the setup begins.

Why the forced password change? The first password is temporary and shared by email. Setting your own ensures only you know it.

3. The setup wizard

The first time you open the console, a friendly setup wizard guides you through the essentials, one step at a time. Each step auto-saves, so you can stop and resume whenever you like.

  • School profile, name, logo, address and your brand colour (yes, the whole app re-themes to match!)
  • Academic year, set your current session and term structure
  • Classes & sections, add your grades and divisions. Name each class however you like (Class 1, Grade 6, Nursery), and set the number of seats per section yourself, or leave it blank for no limit. CBSE defaults are pre-filled to get you moving.
  • Subjects, start from smart defaults or add your own, give each a colour, then map exactly which class studies which subject in a simple tick grid (with an “apply to all” shortcut for the common ones like Maths and English).
  • Timing & periods, shape the school day with colour-coded periods and breaks. Run different bell schedules for different classes (say, 1–8 on one, 9–10 on another), with a live “day at a glance” preview as you build.
  • Grading scheme, define grade boundaries once; report cards use them everywhere
  • Finish, a little confetti, and you're ready 🎉
Brand it as yours. Set your school's colour in the profile step and the entire web console and parent app re-skin to match, no rebuild needed.
Every school is different. Section sizes, per-class subjects and class-wise timetables are all yours to decide, nothing is hard-coded to a fixed number of students or a single timetable.

4. Importing students & staff

You don't have to type everyone in by hand. Bellmeir imports from spreadsheets, and we are glad to do the first import for you.

Prepare your spreadsheet

One row per student, with columns for name, class, section and parent phone. We'll share a ready-made template.

Upload & map columns

Upload the file and match your columns to Bellmeir's fields. The importer flags duplicates and missing data before anything is saved.

Review & confirm

Check the preview, fix any highlighted rows, and confirm. Your students and staff appear instantly across the platform.

5. Inviting teachers, parents & drivers

Once people are in the system, getting them onto their apps is wonderfully simple, it's just a phone number.

  • Teachers receive an email to set their password, then sign in to the Teacher app.
  • Parents & students download the app and sign in with the phone number you registered plus the password shown when you enrolled them. You can re-issue it any time from the student's profile.
  • Drivers install the Driver app and sign in the same way, with their phone number.
No public sign-ups. Only people your office adds can sign in. If a parent's number isn't recognised, they simply contact the school office.

6. Going live

You don't have to switch everything on at once. Most schools start small and expand as confidence grows.

  • Week 1: assign each section its class teacher and turn on attendance, class teachers confirm their class each morning, and you watch it roll up live.
  • Week 2: publish the timetable and start the topic diary & homework.
  • Month 1: set up fees, start recording payments and issuing receipts (add online payment later if you connect a gateway).
  • When ready: register your vans and switch on live tracking.
