The admin web console
The console is your school's control room. Everything the office does, admissions, students, attendance, fees, exams, communication, transport, the front-office registers, clubs and houses, lives here, in one bright, organised place.
⌘K / Ctrl K) to jump to any student, page or action.Finding your way around
Bellmeir has a lot in it, so the sidebar is grouped by the job you are doing rather than listing every screen at once.
- Overview, your dashboard, Find anyone, the live view, analytics and the school calendar
- People, students, teachers, support staff, enquiries and admissions
- Academics, attendance, timetable, exams, syllabus, homework and the class diary
- Communication, announcements, circulars, parent meetings, grievances and exports
- Finance & HR, fees, payroll, staff attendance and leave
- Operations, transport, infirmary, library, the gate register, certificates, stores, labs and maintenance
- School life, clubs, houses and alumni
- School admin, settings, teacher assignments, team logins and security
Every group is open by default, so the whole menu is one scroll and nothing is hidden from you. Click a heading to fold a group away if you never use it, and Bellmeir remembers that on your computer. The group you are currently in always stays open.
⌘K / Ctrl K and start typing. It searches every page you have access to, plus students and staff by name, and shortcuts like "new circular".The dashboard
Your home screen leads with what is waiting on you, not with numbers you cannot act on. The moment you sign in you see:
- Needs you today, every pending decision in one list: classes that have not taken the register, leave to approve, attendance corrections to sign off, open grievances, admissions awaiting a decision, overdue invoices. Each row goes straight to the screen where it gets finished, and anything at zero is left out
- Vitals, students, teachers, today's attendance and how much of the register is in
- Weekly attendance chart, spot dips before they become trends
- Last week's digest, ready to print for the Monday staff meeting
On a day your calendar says the school is shut, the dashboard says so plainly and stops asking for the register. Click any vital to drill straight into the underlying list.
Find anyone
Overview → Find anyone is the fastest way to answer a question about a person, and usually the only screen you need. Type a name, a roll number, or a class.
- "Riya Sharma", or just "Riya" to see every Riya on the roll
- "GF1042", a roll or enrolment number
- "Class 5" for the whole class, or "5A" for one section
- A teacher or support-staff name works exactly the same way
Pick someone and their whole record opens beside the results:
For a student
Class and enrolment details, guardians with their phone numbers ready to dial, attendance, exam averages, the fee position, transport route and van, infirmary visits and library issues.
For a teacher
Subjects and classes taught, which class they are class teacher of, weekly period load, staff attendance, leave taken and pending, and recent payslips.
Then act
Everything here is read-only, so nothing gets changed by accident. Each section links to the module that owns it, and Open full record takes you to the person's own page.
Managing students
The Students page is your most-visited screen, built to stay fast even with thousands of rows.
Find & filter
Use the search pill and filters (class, section, van route, fee status) to narrow the list. A live count shows "Showing 42 of 1,247".
Open a student
Click any row to open the Student 360 side panel, academics, attendance, fees, transport and documents, all on pill-shaped tabs.
Add or import
Use + Add Student for one, or Import for a spreadsheet of many. Transfers and deactivations live in the row's menu.
Print their papers
The Documents tab on a student's page prints their ID card, bonafide certificate and transfer certificate as PDFs, along with a report card for every published exam. They carry the school name, address and contact from Settings, so keep those current.
Admissions
Admissions is a visual pipeline. Each applicant is a card you drag between stages: Applied → Docs Pending → Docs Verified → Interview → Offered → Enrolled.
- Track document completeness at a glance ("Docs 2/4 ✓")
- Open any card for the full application, notes and interview details
- Moving a card to Enrolled creates the student record automatically
Attendance oversight
Class teachers confirm their own class's attendance each morning in their app; you see the whole school roll up here in real time.
- Pick a date to see every class's attendance and percentage
- "Low attendance today" is surfaced at the top so nothing is missed
- Switch to the monthly heat-map for longer trends
- Click a class to drill into individual students for that day
- Holidays and vacations from your school calendar are skipped: no register is asked for, and the day shows as closed rather than as a dip
Timetable builder
Build schedules visually with drag-and-drop, and let Bellmeir guard against clashes.
Pick a class
Choose a class/section from the left; its weekly grid (Mon–Fri × periods) opens in the centre.
Assign periods
Click a cell, choose subject and teacher. Double-bookings are flagged in coral with a helpful tooltip.
Run substitutions
When a teacher is away, open substitution mode to see suggested subs and assign one in a click.
Exams & report cards
Set up an exam once and the rest flows automatically.
- Define exams, subjects, max marks and your grade scheme
- Teachers enter marks in their app; grades apply automatically
- Generate polished, school-branded report cards as PDFs, print or share
- Results analytics show grade distribution and pass rates per exam and class, so you spot struggling subjects early
- Published results appear in the parent app as a celebration moment
Fees & finance
Turn fee collection from a monthly headache into a glance at one dashboard.
Set your fee structure
Create fee heads, terms and any concessions. Assign them to classes or individual students.
Record & reconcile
Record each payment (cash, cheque, transfer) and an instant receipt is issued. Each student shows a clear Paid / Partial / Overdue status.
Track collection
Watch collection climb with live totals and outstanding reports, no spreadsheets required.
Beyond day-to-day collection, the fees pages also handle:
- Concessions & waivers, apply and track discounts per student, with a clear record of what was waived and why
- Defaulter reminders, pull a list of families with dues and send them a reminder in a click
- Receipt PDFs, every recorded payment gets a numbered, printable receipt
- Year-end promotions, move students up to the next class at year end, with fee structures set for the new year
Communication
Reach families without the chaos of group chats.
- Send announcements school-wide, to a class, or to individuals
- Notices land in the parent app and can deep-link to results, fees or van alerts
- See unread status so you know your message was received
Staff, HR & payroll
Manage the people who make your school run.
- A full staff directory with roles, subjects and assigned classes
- Built-in HR & payroll for teaching and support staff
- Role-based access so each person sees only what they should
- Create focused staff logins (accountant, doctor, librarian, receptionist) from Settings → Team, each lands on its own single-purpose home
- Grant a teacher extra duties (exam coordinator, timetable builder, sports rep) from their profile
Transport administration
Run your whole fleet from the Transport pages.
- Register vans, routes, stops and drivers
- Track vehicle documents (PUC, insurance, fitness) with expiry warnings
- Open Live Track to watch every active van on one map
- Students are assigned to vans and confirmed by their parent
For the full tracking experience, see the Live van tracking guide.
Lesson plans & observations
Two academic tools sit alongside the timetable and syllabus:
- Lesson plans, teachers draft and submit a plan; the principal approves it, adds remarks or requests changes. Every plan carries a clear status.
- Class observations & written-work checks, log what you saw on the daily round and the notebooks you sampled; the class teacher sees the feedback on their own classes.
Front office & documents
The desk work that used to live in ledgers, now searchable and dated:
Admission enquiry register. When a family walks in or calls to ask about admission, the front desk logs it here in seconds: child's name, class sought, how they heard of you, and a follow-up date. The register is separate from the admissions pipeline, so casual enquiries don't clutter it, but the moment a family is serious, one tap converts the enquiry into a full admission application with nothing re-typed.
Gate / in-out register. A single dated log for everything that crosses the gate: visitors (who they met and when they left), material moving in or out, and students leaving early, with who collected them and who authorised it. Searchable later, so "who took delivery of that parcel?" is a ten-second question.
- Inward / outward register, log every document and courier in or out, with reference numbers and who handled it
- Document disbursal, track bonafide, transfer certificate, Pravesh Nigam and name-correction requests from raised to issued to delivered
- Parent-teacher meetings, open meeting windows (parents book from their phone) and mark who attended. Scheduling is admin and principal only.
The receptionist login covers exactly this desk: enquiries, admissions help, the gate register and read-only student lookup.
Clubs, houses & campus
The community and campus-upkeep modules:
- Clubs, create sports and activity clubs and enlist students into each
- House system, group students into colour-themed houses (assigned by teachers, owned by the principal)
- Alumni, a directory of past students, their batch and where they are now
- Stores & laboratories, inventory with stock movements, low-stock alerts and lab-equipment condition
- Repairs & maintenance, log upkeep of buildings, furniture and equipment with cost, vendor and what's due next
Infirmary
A proper health-room record for every child, run from the console or a dedicated doctor login:
- Visits, log a visit with one or more students, symptoms, treatment given and outcome
- Medicine stock, a restock / dispense ledger for the medicine cupboard, with low-stock and expiring-soon warnings
- Screenings & immunisations, record health screenings and each student's immunisation history
- Follow-ups, flag a visit for follow-up so no case is quietly forgotten
Library
The school library, catalogued and circulating, run from the console or a dedicated librarian login:
- Catalogue, add books with title, author, copies and shelf details
- Issue & return, issue a book to any student or staff member in seconds, and check it back in
- Overdue tracking, a clear list of overdue books and who has them, so gentle nudges are easy
School calendar
Enter your holiday list once, at the start of the year, and the rest of Bellmeir respects it. Overview → Calendar.
Add a holiday or a vacation
Give it a name and a date. Leave the "To" date blank for a single day, or fill it in for a block like a Diwali or summer break.
Add exam blocks and events
Sports day, annual day, the half-yearly exam week. These sit on the calendar for everyone to see but do not close the school, because an exam day is still a working day.
Mark a working Saturday
If your school teaches on the second Saturday, add it as a working day. That overrides the normal weekend so the register is still collected.
Keep something internal
Untick "families can see this" for a staff-only date, like a submission deadline, that parents do not need.
Once a day is marked as a holiday or vacation, nobody is asked for the register that day, the dashboard says the school is closed instead of reporting unmarked classes, and the attendance chart shows the day as closed rather than as a dip.
Settings
Your school's own record, at School admin → School settings. Everything here is editable and saves with one button.
- School details, name, phone, email and address. These print on transfer certificates, bonafide letters and report cards, so keep them current
- Academic, your board and timezone, plus the list of academic years
- Branding & attendance, your brand colour, used across the portal and both phone apps, and the attendance threshold below which a student is flagged
- Teacher assignments, which teacher takes which subject in which class
- Team & logins and Security, staff accounts, active sessions and the audit log
Your school's web address and your plan are set by us rather than in the portal, so a saved link never breaks. Get in touch and we will change either.
